Describe the workflow, not only the feature name

A useful project enquiry explains who will use the system, what they need to accomplish and what happens today. Saying that a business needs a booking system is a start; describing availability rules, pricing, payments, staff administration and existing tools gives much better scope information.

For an existing application, include the public URL and known technology if available. Do not send passwords or private credentials during the initial discussion.

Identify integrations and data early

Mention payment gateways, maps, CRM systems, accounting tools, existing databases, mobile applications or other services the new development must connect to. Integrations can materially affect architecture and testing.

If data must be migrated from an older system, approximate record counts and formats are useful. A migration may require cleaning and mapping rather than a direct import.

Timelines depend on scope and readiness. A CMS enhancement can be much smaller than a multi-role booking application with payments and mobile APIs, so we avoid assigning the same process or schedule to every project.

If there is a target budget or operational deadline, sharing it can help determine whether the project should be phased. A first release might automate the most important workflow while reports, mobile applications or secondary integrations follow later. We would rather define a smaller complete phase than promise an unrealistic collection of features. Existing documentation, sample spreadsheets or process diagrams can also help explain rules during discovery without granting access to private production systems.

For redesign or modernization work, mention whether the existing system must remain online throughout the transition. That requirement can influence migration, database synchronization and deployment strategy. A public marketing site can often switch quickly, while an operational application may need a staged cutover.
